The True Cost of AppFolio: Hidden Fees Property Managers Miss

AppFolio advertises pricing starting at $1.40 per unit per month. On the surface, managing 100 units would cost $140 per month. But that's not what you'll actually pay. The real cost involves minimum fees, transaction charges, and feature restrictions that significantly increase your total spend.

The $280 minimum fee

Regardless of portfolio size, AppFolio charges a minimum of $280 per month. If you manage fewer than 200 units, you're paying more per unit than the advertised rate. At 80 units, your effective per-unit cost is $3.50, not $1.40. At 50 units, it's $5.60 per unit.

This minimum exists because AppFolio's business model depends on larger portfolios. They'd prefer you manage 500+ units. If you don't, you subsidize their infrastructure anyway.

eCheck fees add up fast

Every ACH payment processed through AppFolio costs tenants $2.49. While this fee is technically charged to the tenant, it impacts you directly. Tenants who see a fee on electronic payments often opt for physical checks instead, which means more manual processing, more trips to the bank, and slower cash flow.

For a 100-unit portfolio where 80% of tenants pay electronically, that's roughly $200 per month in fees your tenants absorb. Over a year, your residents collectively pay $2,400 just to send you rent. Many managers consider this when evaluating software because it affects tenant satisfaction and retention.

Premium tier gates

AppFolio's Core plan lacks several features that most managers need: API access for integrations, advanced reporting, and revenue management tools. To unlock these, you need the Plus plan at $3.00 per unit per month (with a $650 minimum) or the Max plan with custom pricing.

If you want to connect AppFolio to QuickBooks, Xero, or any custom system, you're looking at the Plus tier minimum. That's $650/month for what should be basic data connectivity.

Annual price increases

Multiple reviews on G2 and Capterra mention unexpected annual price increases of 10-15%. Your $280/month minimum this year might be $320 next year without any new features or improvements to show for it. These increases are typically buried in contract renewals.

The real annual cost

Let's calculate the total for a 100-unit portfolio on AppFolio Core:

  • Base fee: $280/month x 12 = $3,360
  • Tenant eCheck fees (passed through): ~$2,400/year
  • Credit card processing (3%): varies by adoption
  • Next year (with increase): ~$3,700 base

Compare this to platforms that charge $99/month + $0.50 per unit with $0.50 ACH. For 100 units, that's $149/month ($1,788/year) plus $0.50 per ACH transaction ($600/year at 100 units). Total: ~$2,388/year vs AppFolio's $5,760+. The difference over three years can exceed $10,000.

What to look for instead

When evaluating alternatives, ask these questions: Is there a minimum monthly fee? What does ACH cost (for you and for tenants)? Is API access included on all plans? Are there annual price increase caps in the contract? Can you export all your data freely?

Transparent pricing shouldn't be a differentiator, but in property management software, it still is.
